2.10 Planning A Project & Sharing News
Quick Summary
The Department of Communications & Marketing is responsible for ensuring the correct use and maintaining the integrity of the visual identity on all University publications, supplies, materials, and equipment, whether produced by the University or outside agencies. All uses of the Limestone University identity or its various logos must receive approval by the Department of Communications and should utilize the appropriate logos, colors, space, and size requirements.
Project request forms gather important details about your project so we can determine whether we are able to take on the request as well as deliver a strong product.
In order to review and consider your project, please submit a project request at least four weeks prior to the desired completion date.
The creative team (includes designers, writers, photographers, and videographers) requires four weeks for every project. This timing does not include printing and mailing. Allow for ten business days for printing and mailing. Production schedule does not start until all content is received.
Projects are considered in the context of university priorities, timing, and capacity. In some cases, the Department of Communications & Marketing will recommend an outside vendor best suited to meet your needs.
The Limestone University Department of Communications & Marketing coordinates all media communications and provides members of the media and the public with University and departmental news. Do not be the first to announce University news unless you have prior approval from the Department of Communications & Marketing. Note: Limestone Sports Information Office primarily provides the media and public with Limestone Athletics news.
All news media inquiries about Limestone University, except athletics inquiries, should be referred to the Department of Communications & Marketing. If media members arrive on campus without prior notice, the Department of Marketing & Communications should be notified as soon as possible. While on Limestone University property, news media representatives should, if necessary and appropriate, be accompanied by a staff member of the Department of Communications or Limestone communicator designated by the Department of Communications & Marketing.
The Department of Communications & Marketing serves as the central resource and primary point of contact for all news media representatives. The Department of Communications & Marketing is responsible for disseminating institutional news releases, media advisories, and other Limestone University information to media outlets and will otherwise make all media contacts for the University. Any questions regarding media contacts or coverage should be directed to the Department of Communications & Marketing.
Limestone University departments, programs, and organizations are asked not to send information or press releases separately to media outlets without prior approval from the Department of Communications & Marketing, as duplication and confusion, and sometimes error, can result. In an effort to be fair to all media outlets and partners, the Department of Communications & Marketing also makes sure that all such outlets receive the same Limestone University information at the same time.
Drafts of news releases or requests for writing news releases should be sent at least 14 days prior to release to the Department of Communications & Marketing, using the accompanying form. The Department of Communications & Marketing team will either write the press release or edit the drafts to conform with Associated Press (AP) writing style and accepted journalistic standards. The Department of Communications & Marketing will make the decision whether to send out the news release to the media, post on the Limestone website, post to social media, etc. A weekly Limestone News newsletter also shares highlights of releases and other information. The Department of Communications & Marketing will review press release requests for newsworthiness and work with the appropriate departments on revisions or concerns. More than 14 days may be required on some requests depending on the complexity of the topic and the volume of news releases at that time.
Although the Department of Communications & Marketing makes every effort to support all areas of the University, there may be occasions where it must prioritize requests and occasionally turn down some of them due to time and resources available. It is important to understand that media outlets receive many pitches and releases daily, and the Department of Communications & Marketing receives multiple article requests each month. The Department of Communications & Marketing will prioritize the news release requests that best benefit the University as a whole.
